Cancellation Policy
This Cancellation and Refund Policy explains the terms that apply when a traveller cancels, changes or does not use a tour, stay, experience, taxi service or other travel arrangement booked through Tour Vistaa.
Because many services are provided by independent hotels, resorts, desert camps, transport operators, guides and activity providers, cancellation charges may vary between bookings.
The cancellation terms stated in your quotation, invoice, voucher or booking confirmation will take priority wherever they differ from this general policy.
1. When a Booking Is Considered Confirmed
A booking is considered confirmed only after:
- Tour Vistaa accepts the booking request
- The required advance or full payment is received
- Availability is confirmed by the relevant supplier
- Written confirmation is issued by Tour Vistaa
Submitting an enquiry or receiving a quotation does not create a confirmed booking.
2. How to Cancel a Booking
All cancellation requests must be submitted in writing through:
- Another communication channel previously used for the booking
The cancellation will be considered effective only after Tour Vistaa acknowledges the request in writing.
The date and time on which we receive the written request will be used to calculate the applicable cancellation charges.
3. General Cancellation Charges
Unless a different policy is stated in the booking confirmation, the following general cancellation charges may apply:
- More than 30 days before travel: 15% of the total booking value
- 15 to 30 days before travel: 30% of the total booking value
- 8 to 14 days before travel: 50% of the total booking value
- 7 days before travel: 100% of the total booking value
- No-show or cancellation after travel begins: 100% of the total booking value
Any non-refundable supplier charges, bank charges, payment-gateway fees and administrative costs may also be deducted.
4. Peak Season and Special-Date Bookings
Bookings made for high-demand periods may have stricter cancellation conditions.
These periods may include:
- Christmas and New Year
- Diwali
- Holi
- Long weekends
- Public holidays
- Local fairs and festivals
- Wedding or event dates
- Peak tourism months
- Specially contracted group bookings
Hotels, resorts, desert camps and activity providers may require full advance payment and may treat such bookings as partly or completely non-refundable.
The specific terms will be communicated before confirmation.
5. Hotels, Resorts and Desert Camps
Accommodation cancellations are governed by the policy of the selected property.
Depending on the rate plan and travel dates:
- Some room rates may be refundable
- Some rates may allow one date change
- Some bookings may be fully non-refundable
- Peak-season reservations may require full payment
- Early check-out may not qualify for a refund
- Unused meals or inclusions may not be refunded
Where the property imposes a higher cancellation charge than this general policy, the property’s cancellation terms will apply.
6. Tours and Travel Packages
For customised tours and multi-service packages, cancellation charges may include costs already committed toward:
- Accommodation
- Transport
- Guides
- Activities
- Monument arrangements
- Meals
- Permits
- Special setups
- Administrative planning
Where services are booked together as one package, cancelling one component may affect the pricing or availability of the remaining components.
Any revised package cost will be communicated before changes are confirmed.
7. Taxi and Transportation Services
For taxi, cab, airport transfer and intercity transport bookings:
- Cancellations made well in advance may receive a refund after applicable deductions
- Same-day cancellations may attract a substantial charge
- Cancellations after the vehicle has been dispatched may be fully non-refundable
- Delays caused by the traveller may attract waiting charges
- Unused kilometres, hours or route portions may not be refundable
Special vehicles, premium cars and large group vehicles may have stricter cancellation terms.
8. Activities and Experiences
Experiences such as camel safaris, jeep safaris, boat rides, private dinners, village tours and cultural programmes may involve advance preparation or third-party reservations.
Cancellation charges may include:
- Operator charges
- Guide fees
- Vehicle charges
- Food preparation costs
- Setup expenses
- Permit costs
- Non-refundable deposits
Same-day cancellations and no-shows are generally non-refundable.
9. Changes Requested by the Traveller
Requests to change travel dates, hotels, activities, vehicles, guest numbers or destinations are subject to availability.
A change may involve:
- Fare differences
- Supplier amendment charges
- Additional taxes
- Revised transport costs
- Cancellation charges for the original service
- New booking charges
A requested change is not confirmed until Tour Vistaa accepts it in writing.
Where a date change is allowed, the revised booking may still remain non-refundable.
10. No-Show, Late Arrival and Unused Services
No refund will normally be provided for:
- Failure to arrive for a confirmed service
- Missing a transfer due to personal delay
- Late arrival that results in a missed activity
- Early departure
- Voluntary cancellation during the journey
- Unused sightseeing
- Unused meals
- Unused room nights
- Services declined by the traveller
- Failure to carry required identification or documents
- Refusal of service due to unsafe or inappropriate conduct
11. Cancellation Due to Weather
Certain services depend on weather and local operating conditions.
These may include:
- Desert safaris
- Boat rides
- Outdoor dining
- Cultural performances
- Village visits
- Excursions to remote areas
Where an activity cannot operate safely, Tour Vistaa or the service provider may offer:
- Rescheduling
- An alternative activity
- Credit for future use
- A partial refund
- A refund for the affected service
The available remedy will depend on supplier rules and whether any costs have already been incurred.
Unfavourable weather alone does not automatically qualify for a refund if the service remains operational.
12. Cancellation by Tour Vistaa or a Supplier
Tour Vistaa or a supplier may modify or cancel a service because of:
- Unavailability
- Operational failure
- Safety concerns
- Weather
- Road closures
- Government restrictions
- Local disturbances
- Technical issues
- Force majeure events
Where reasonably possible, we may offer:
- A comparable replacement
- A revised itinerary
- Rescheduling
- Credit toward another service
- A refund for the cancelled portion
The remedy will depend on the circumstances and recoverable amounts from the supplier.
13. Force Majeure
Tour Vistaa will not be responsible for cancellations, interruptions or delays caused by events outside reasonable control, including:
- Natural disasters
- Floods
- Earthquakes
- Fires
- Severe weather
- Epidemics or pandemics
- War
- Terrorism
- Civil unrest
- Government orders
- Border closures
- Strikes
- Transport disruption
- Road closures
- Internet or communication failure
- Supplier shutdowns
In such cases, refunds will depend on the amount recoverable from the relevant suppliers.
Tour Vistaa will make reasonable efforts to assist with alternatives, rescheduling or future travel credit.
14. Refund Eligibility
Where a refund is approved, the refundable amount will be calculated after deducting:
- Applicable cancellation charges
- Supplier penalties
- Non-refundable deposits
- Payment-gateway charges
- Bank charges
- Foreign-exchange differences
- Administrative costs
- Services already used
- Expenses already incurred
Only the amount actually received and recoverable by Tour Vistaa can be refunded.
15. Refund Processing Time
Approved refunds will generally be initiated within 7 to 15 working days after:
- Cancellation is confirmed
- Supplier deductions are finalised
- Refundable amounts are received or approved
- Payment and booking details are verified
The time taken for the refunded amount to appear in the traveller’s account may depend on the bank, card issuer, payment gateway or UPI provider.
Tour Vistaa is not responsible for delays caused after the refund has been initiated.
16. Refund Method
Refunds will normally be made through the same payment method used for the original transaction.
Where that is not possible, Tour Vistaa may request:
- Bank-account details
- UPI details
- Identity verification
- Payment proof
Refunds will not normally be issued in cash for payments originally made electronically.
17. Travel Credits
In some cases, instead of a cash refund, Tour Vistaa may offer a travel credit.
Travel credits may be subject to:
- A validity period
- Supplier availability
- Seasonal price differences
- Blackout dates
- Non-transferability
- Revised taxes or charges
The applicable terms will be communicated when the credit is offered.
18. Group Bookings
Group tours, weddings, corporate travel and large family bookings may have separate cancellation schedules.
Such bookings may require:
- A non-refundable deposit
- Staged payments
- Final guest numbers by a fixed date
- Rooming-list deadlines
- Higher cancellation charges
- Full payment before travel
The group-specific policy stated in the quotation or agreement will apply.
19. Complaints About Refunds or Cancellations
Questions or concerns regarding a cancellation or refund should include:
- Traveller name
- Booking reference
- Travel dates
- Date of cancellation request
- Payment proof
- Reason for cancellation
- Any relevant supporting documents
Tour Vistaa will review genuine requests and respond within a reasonable period.
